Presentation modes

Oral presentations
All presentations (volunteered and invited) in Topical and General Symposia will share the same format (15 minutes:
12 minutes plus 3 for discussion), except for a 30-minute introductory key lecture, if scheduled. The duration
of oral presentations in Special Symposia will instead vary according to the session format, as reported in the
Scientific Program.

1. All rooms will be equipped with one computer for PowerPoint presentations and one overhead projector. No slide projectors will be available. The computer will be on the speaker’s desk.
2. Given the vast number of simultaneous sessions and the short time allocated for talks, PowerPoint presentations will be managed by a centralized system. Therefore, it will not be possible to use personal laptops during presentations.
3. Presenters who intend to use PowerPoint should bring their CDs (or computers) to the Slide Center one day before their scheduled time to have their presentations copied. The presentations will be forwarded, via LAN network, from the Slide Center to the appropriate room at the scheduled time.
4. A limited service will be offered for converting slides into PowerPoint presentations. Should this service be required, slides must be brought to the Slide Center at least one day before their scheduled time.
5. Presenters whose talks are scheduled on the morning of Saturday 21 should deliver their PowerPoint presentations on the previous day to the Slide Center in the registration area (open from 14.00 to 19.00 on Friday 20). 6. To allow the organizers to verify that the session program is complete, all presenters must inform the Slide Center about their mode of presentation, even if they are planning an overhead presentation.

Poster presentations
1. Posters must be on display for the whole day during which the session is scheduled. Posters should be set up between 8.30 and 9.00 and removed by 19.00. All posters must be removed at the end of the first day, even in cases where the session lasts more than one day.
2. Display panels, one for each poster presentation, are 100 cm wide and 250 cm high. Sticking paste is available; velcro, thumbtacks are not needed.
3. Authors must be present at the poster booth from 17.00 to 18.30, and are also encouraged to be present during lunch time (12.45 - 14.15).

INSTRUCTIONS FOR POWERPOINT PRESENTATIONS

1) It is absolutely necessary that the files of videos and pictures are in the same folder of the PowerPoint presentation; moreover, they need to be copied in the folder before they are inserted in the presentation *.
2) Should non standard sources be used (i.e. which are not included in Windows XP and Office XP), please bring these sources with you and reach the slide centre in due course to inform the engineers about this (at least six hours before the presentation).
3) The videos included in the presentation shall have the following extensions: .avi, .mpeg, .mov, .wmv (.avi is preferable). Please use the following codec: DivX, Xvid. Videos made by means of codec which are proprietary of professional cameras cannot be viewed. Besides that, in the presentation videos shall not be started by double-clicking the picture **.
4) Just one video for each slide is advisable.
5) The videos to be used in the presentation should not be more than 50 MB each. Should their size be greater, please bring a copy of the videos on VHS, Beta, DVD or other media to the slide centre, by previous agreement with the engineers (at least six hours before the presentation).
6) The size of powerpoint presentations preferably should not exceed 20 MB, videos excluded.
7) Simple slides, without too much animation should be used.
8) Before importing the pictures which will be used in the presentations into PowerPoint, they should be reduced and optimised by means of graphic programmes such as “Imaging”, “Photoshop”, “Photopaint”, “Paint shop pro”, et cetera.
9) To get a light presentation, please use .gif and .jpg pictures (different types of extensions will be accepted as well, provided that they are recognised by PowerPoint).
10) To make the download of the presentations at the slide centre easier, CDs-Rom, floppy discs or zip discs are advisable.
However, presentations can be downloaded from one’s notebook at the slide centre, provided that the persons concerned come there at least 3 hours before the presentation.
11) The version which is presently used for presentations is PowerPoint, Version XP.
Speakers whose presentations will not abide by the previous “suggestions” are kindly requested to get in contact with the engineers at the slide centre at least six hours before their presentations.

* - Example: I create the folder “PRESENTATION”, I copy the files required for the presentation in this folder; by means of PowerPoint I create the presentation, using the videos which are in the “presentation” folder, then I will always save all this in the “presentation” folder.
** - In order to avoid it, please follow this procedure:
Select the slide where you want to insert the video, select “Videos and sounds” by clicking “Insert” on the menu, then click “Video from a file”. Select the video required, then click “O.K.”. Answer “No” the question “Is the video to be reproduced automatically during the presentation?”. Now from the menu “Presentation” select “Customised animation....”. A window will appear: select and thick off the flag of the object just inserted in the list of the elements to which animation is to be applied. Be sure that on the “Order and intervals” panel, “By a click of the mouse” is selected, that “Perform by using the order of animation” is ticked off on the multimedia panel, and that “Stop the presentation” is selected. Click “Ok” to confirm and close the window.
